How to check whether pallet quotations are comparable
Check the pallet offered, order quantity and delivery basis before comparing prices. A few focused clarifications can make the difference clear.
Prepared with AI assistance
Before choosing between pallet quotations, check that the offers cover the same product, quantity and delivery basis. A short email with one price can be sufficient once those points are clear. Work with the terms the supplier has actually offered; you do not need to reconstruct its production or transport costs.
Send the same concise requirement
Give each supplier the same construction or specification, order quantity and destination country and postcode. Attach a drawing where it is needed to describe the pallet. State whether you require new or used pallets, the relevant wood quality, and any treatment or drying requirements.
Include a delivery deadline if it affects your choice. Keep the request focused on what the supplier needs to identify and quote the product. If the requirement changes, send the updated version to every supplier still being considered.
Check what has actually been quoted
Read the offer against your request. Does it cover the specified construction and quantity? Has the supplier proposed different wood quality, condition, treatment or dimensions?
Ask the supplier to confirm any important point that remains unclear. An alternative may be acceptable, but record the difference and decide whether it meets your needs before comparing its price with the original specification.
If a quotation applies to a larger quantity than you requested, ask whether the price also applies to your order. Keep the offered quantity visible beside the price.
Confirm the delivery basis
For a quotation showing one price per pallet, confirm whether that price includes delivery to your named postcode or applies to collection from the supplier. Check any stated delivery conditions that matter at your receiving site.
If delivery is unclear, ask for a single delivered price for the actual order, where available. The supplier can give that total without separating its pallet and freight costs.
If you must arrange collection, use your own real transport quotation for the relevant load and route when assessing the delivered total. Confirm the collection location and quantity so the transport quotation covers the same order. If the transport cost is still unknown, leave the offer as not yet comparable on a delivered basis.
Compare the confirmed terms
Once the product, quantity and delivery basis are clear, compare the prices using the same currency and tax basis. Note any material differences in lead time or payment terms before deciding.
There is no need to make every supplier complete the same pricing template. Keep its original offer and a short record of the essential clarifications. The aim is to understand what each price buys and whether it meets your requirement.
